myTXT User

1. Introduction
Welcome to the myTXT Help Document. This Help Document will give you step by step guidance on every aspect of the myTXT system. The purpose of the myTXT system is to provide you with a complete SMS solution. myTXT allows you to have complete control of your company's SMS's, improving communication with your customers, debtors, creditors and or employees. With myTXT you can import your contacts and all calendar events, create your own reports easily, buy SMS's. The security of your system is guaranteed with the system administrator deciding who is allowed to have what functions available to them and not.
2. Sign-up
On the myTXT webpage choose the Sign-up option. This is where you need to fill in all the relevant information including whether you are creating a personal or business account. The password you create will be the password required to log onto the myTXT system.
2.1. Reset Password
To reset your password go to the Login page and click on Forgot your Password and enter your email address. Click Reset My Password . The myTXT System will send you an email containing a link, this will redirect you to a page where you can enter your new password. After completing this you can log onto the myTXT system with your new password.
3. Using the myTXT system
When logging into the myTXT system you will be redirected to your personal homepage, displaying your speed dials. The tabs on the left-hand side of the page will direct you to the various functions you can perform on the myTXT system. When clicking on a tab it would look similar to this:
3.1. Main Navigation
The Main Navigation bar contains all the tabs available under the main option you chose from the left-hand side of the page.
3.2. Sub-Navigation
The Sub-Navigation tabs provides you with alternative options you may wish to perform in any Main Navigation tab you have selected, for example: Contacts - Groups - Create Group.
3.3. Speed dial Icons
This section displays all your custom speed dials. The speed dial icon bar contains the same links and icons as your bigger speed dials on your homepage. The blue question-mark button takes the user to the help section
4. Messages
Messages contain all the sent and received messages as well as Bulk SMS and SMS attachment options. Following is an explanation of all the Main navigation tabs in Messages:
4.1. New Message
When sending a New Message, in the "To" box you can enter the recipients number, contact name (if contact name was created - see Contacts for information) or group name if you wish to send it to more than one recipient.
Create your message in the "Message" box, keep in mind one message consists of 160 characters or less. Therefore every 160 characters will be charged as one message e.g. 320 characters are charged as two messages.
4.2. Inbox
Your Inbox contains the content of all the messages you have received together with the date and time as well as details of the person that sent the message to you.
4.3. Sent
The sent messages contain all messages that were sent by you including all the details for example, the recipient, date and time it was sent. This also shows the status of the sent message, whether it was delivered, pending or failed.
4.4. Bulk SMS
If you do not have the contacts saved or if you have a list of numbers to send a message to you can upload the message in CSV format, together with the phone numbers to send it to. To send Bulk SMS messages, go to Bulk SMS in the main navigation bar and select Choose File.Select the CSV file you want to upload and click on the green upload arrow.Arrange the fields to match your message contents and click Import.
4.5. SMS Attachment
SMS Attachments allow you to attach any file to your message. This could be any kind of file e.g. Pdf, Mp3, Word documents, Movie clips, Presentations, Business cards etc. To send a message with an attachment, enter the contact number and message (as in the case of New message) then click on SMS Attachment 1. Choose the file you want to attach and click on the green upload button. If you need to send more than one attachments, do the same for the rest. Once you are done, click on Send SMS.
4.6. Opt-Out
When sending an SMS message to someone, that person has the option of sending an Opt-Out message to the system. This will prevent you from sending this person an SMS again afterwards and this person will be disabled from the system. You can Opt-Out by means of replying with keywords such as: Unsubscribe, Quit, Stop etc.
5. Contacts
Contacts can be individual, part of a group or simply imported from your address book. The contacts page looks similar to this screen:
5.1. Create a contact
To create a contact go to your sub-navigation menu and choose Create a Contact from the tabs. Fill in all the details about your contact. By choosing "Private" or "Shared" you can decide whether users in your company will be allowed to edit or view this contact or not.
5.2. Create a Group
Click on Groups in your Main navigation tab. Choose Create a Group from the sub-navigation tab and enter the name for the group you wish to create and click Create Group. It will show which contacts are in a group and which are not. Simply drag the selected contact to the desired group.
5.3. Import Contacts
To import your contacts from your address book to the myTXT system, simply click on Import Contacts on the Main navigation tab and choose the file to be imported from your computer- this could be in CSV or VCard format. Once this is done, select the green arrow to upload the file. Lastly click on the Import Contacts button.
6. Calendar
The Calendar makes it easy for you to view your scheduled events.
6.1. Create a Schedule
To create a new schedule go to the Schedules tab in the calendar in the main navigation bar. Click on Create a Schedule in the sub-navigation bar. Enter the title for the schedule which will be displayed in your calendar. In the "To" box enter the contact names, numbers, or group names of the recipients of this scheduled message.(This is for everyone who needs to attend the scheduled event). In the message part of the schedule you can enter any information regarding the event being scheduled. Keep in mind, 160 characters is one message.

If the message should be scheduled only once, set the status to Do Not Repeat, otherwise set the status to how often it should be scheduled for e.g. If its a weekly staff meeting on Fridays 8am to 10am - Repeat every > Frequency = 1 > Unit = Week > Weekdays = Friday > Starting date = The exact date of the first meeting, 8:00 > Ending date = The last scheduled day for the meeting, 10:00. Click on Create Schedule once you have entered all the necessary information.
6.2. Import Schedules
To import your schedules in CSV format go to Import Schedules in the sub-navigation tab. Choose the file you wish to import and then click on the green upload arrow. Sort the fields correctly and click on the Import Schedules button below the schedules.
7. Reports
The Reports are used to generate information on the messages sent and received.You can choose how you want it displayed changing the start date, the interval time, and the period of which the information will be taken from. You can also decide whether you want it displayed in graph or report format.
7.1. Messages by User
The Messages by User reports how many messages were sent by all the different users in your company. You can choose how you want the information displayed - in graphical or report format. You can change the starting date to set the day the reports start from, as well as the Period which will then show the report for the selected number of days from your selected start date. Changing the interval changes the graph to report in either minutes, hours, days, months or years. After every change you make, click on Re-draw graph to see the results.
7.2. Failed Messages
To view your failed messages click on the Failed Messages tab on the main navigation bar. You can once again change all the fields to view the report in your desired format. This shows you the number of messages that failed vs the number of messages that were successful.
7.3. Total Messages
To view the total messages sent and received click on the Total Messages tab in the main navigation bar. This shows the total messages sent by the company in the format of your choice. (For more information see Messages by User) Once all the parameters were set to your choice click Re-draw graph.
7.4. Advanced
In the Reports section on the main navigation bar you will find an Advanced tab. The Advanced section allows you to completely format the way the report is presented. The sub- navigation tab shows the options: Download CSV, Re-Draw Graph and Save as New Graph. Below the sub-navigation is a bar that has the options: Start, Period, Interval and Type. This is used to personalize your graphs, changing the start date to the date you wish the graph report to start from, the period to set the number of days you wish the report to reflect, the interval for what unit the graph should be reported in (days, months etc.) and lastly type is how you want these statistics displayed whether it be in graphical or report format. There are 6 boxes called Account, User, Cost, Network, Delivery Status and Type respectively.Each box has a few setting options available for you to change. Hovering over each individually would give you the description. The square - merges all the information in that specific block together. Thus it presents all the information in that block as one unit. The (lines) split all the information to allow for each to be represented in the graph individually. The green checkmark to select the entire list. And the red checkmark is used to deselect all the options that were selected.
In the Account area you can either split all your different company accounts to be viewed individually or merge it together. (This only applies to resellers,otherwise only your company would be visible.) In the Users area you would be able to view all the users from all the companies (resellers) or alternatively, view all the users in your own company. You can merge all the users together or split them to view them individually on the graph.
The Cost area allows you as reseller to merge or split the different Cost per Sms values. As reseller the different companies signed up by you might have different SMS cost prices. Thus when this option is set to Split, you could view the report for total messages sent as per different values. When the Network option is set to Split you would be able to view how many messages were sent and received by the respective networks individually. The Delivery status could also be viewed in Split format, this means you would be able to view Received, Delivered and Failed messages statistics separately on the graph. When Merging all these fields you would be viewing the total messages (sent, received and delivered) together. The Type option works together with the Delivery status option. If you remove the 'Received' option from Type it would automatically be removed from Delivery status as well.
7.5. Referral Commission
The referral commission is used for reseller companies. A reseller gets commission on every new client / company he signs up to use the myTXT System.
As an example on using the reports to your benefit, if you want to see which companies support which networks - Split companies, merge users, cost, delivery status and type, and split Networks, then click on Re-draw graph to view your report.
8. Accounts
The Accounts enable you to view details of all your companies (for resellers) as well as the users enabled on the system. It also allows for the administrator of the company to set certain limits for every user in their system.
8.1. Create a Company
To create a company click on Create a Company on the sub-navigation bar in Accounts. Enter all the details necessary to create this company account. The blue question mark tabs are there to guide you through this process. Please note when setting the status of the company to Disabled none of the users in the company would be able to access the myTXT System. When the form is complete click on the Create Company tab to verify this account.
8.2. Companies
To access all the companies' accounts click on Companies in the main navigation bar. This will show only your company details which you would be able to edit if that option was allocated to you by the administrator of your company. If however, you are a reseller all the companies below you would be available on that list. You can edit information necessary by clicking on the pencil sign.
8.3. Create a User
When you wish to create a new user click on Create a User on the sub-navigation bar. Resellers will have the option of adding users to any account they have created for the companies recruited by them. Otherwise add the user to your company. Make sure all the necessary information is provided. A status set to Disabled will prevent the user from accessing the system.
8.4. Users
The Users tab in the main navigation bar allows you to view only the user accounts in your own company. If permission is allocated to you, you may edit user details on the system for example if the user needs a new password. Please note once again if the status is set to Disabled that user will not be able to access the system.
8.5. User Limits
The User Limits on the main navigation bar allows the administrator of the company to set a limit for each user in the company. Simply choose the correct user you wish to set the limit for. Enter an amount that user is allowed to use and indicate over what period this can be used for example: User > Amount > R1000.00 > Period> per month.
9. Settings
The Settings allow you personalize the myTXT System for easy navigation amongst other reasons. You can change the signature attached to you SMS messages (provided there is enough characters available to do so) and even choose your own speed dials.
9.1. My Settings
If you wish to attach your own signature to the messages you send, click on My Settings in the main navigation bar. Enter your signature in the text box and click on Save my Settings in the right-hand corner of your page. Please keep in mind this signature would only be attached if there is enough characters remaining to do so.
9.2. Short Code Links
Short code links are available at request. You can assign a user to receive messages sent to the short code in his/her inbox.
9.3. FTP Connections
The myTXT System provides the functionality to retrieve files from a remote FTP server. The information contained in the file can be converted to SMS messages. The only requirement is that each line within the file contains at least a mobile number and the message. You need to specify the number of columns contained in each file, as well as specify which column would contain the mobile number and which column would contain the message. The fetch directory field tells the connection in which files the information to be retrieved is kept. To prevent the system from sending the messages within a file more than once. The file needs to be renamed or archived to another directory. The connection can be set to allow only certain files to be retrieved. This is done by setting a file name mask. For instance to retrieve all files set the Fetch Mask to .* . To retrieve only CSV files set the Fetch Mask to .*.CSV.
9.4. XML Integrations
XML Integrations are used for integrating your system to send SMS messages through myTXT. myTXT is capable of understanding any XML structure. In order to teach myTXT your XML, copy and paste an example into the Sample XML field. To create a new XML integration, go to XML Integration in the main navigation and click on Create a New XML Integration tab in the sub-navigation bar. In the Name field enter the name you would want your XML integration to be associated with. Copy your XML example into the Sample XML field. Map the value required by myTXT to the corresponding path in the XML structure. When all the fields are completed click on the Create XML Integration button to save. The system will provide you with a URL associated with your XML integration setup. XML packets with the same structure as the example XML used to create the XML integration can be sent to the URL provided by means of an HTTP post action.
9.5. Account Settings
If you need to change the password mobile nr. etc on your account go to Account Settings in your main navigation bar. Once you have changed all the necessary fields click on Save User to save the changes made.
9.6. Invite a Friend
You can to invite someone to join the myTXT system. To do this go to the Invite a Friend tab in the main navigation bar. You will need the email address of the person(s) you wish to invite. You can customize your invite messages or send the default invite message to this person. You will earn commission from the purchases they make.
9.7. Speed Dials
This is your personal speed dial section. You can customize these icons to your liking. You will start off with a few default speed dial icons which can be edited or used as is. To edit a speed dial icon, click on the small pencil icon in the top-right corner of the speed dial icon. This will take you to an edit screen with the following fields:
  • Description - An optional description.
  • Position - The position of the speed dial icon. The speed dial that was selected will already be completed, in most cases this field can be left as is.
  • Image - Select an image that describes the speed dial
    • A speed dial icon can also be deleted by using the cross icon in the top-right corner of the speed dial. It will be replaced with the default image after deletion.
9.8. Permissions
Individual user permissions can be set by going to Permissions on the main navigation bar. Select the user from the drop-down box, and set his permissions for his needs. This is done by ticking the relevant boxes next to the pages that he will be able to View, Edit, Delete or Add. The first section on the permissions page after the user select drop-down is labelled All Pages. Any tick to the boxes under this heading will override the settings for the individual pages by giving access to the user to view, edit, delete or add items. Click on the Save Permissions button to save the settings.
